CATALOGING POLICY

Primarily, the collection will focus on English as a second language learning resources. These materials can include audiovisual materials, printed books, journals, and kits. The size varies according to the demand for such focus. In terms of accessibility, all the materials are available for full access for authorized patrons. The main reason for this collection is that the Public libraries tend to be lacking in resources for ESL students, especially for adults. Thus. the essential goal is to have a circulating collection for those who may not have access to such materials.

Cataloging Policy: Get Involved
  1. All records must be in the full level of cataloging.

  2. Consistency and uniformity of subject analysis will be required so that all objects in the collection could be found when searched by a user. For example, English Language Learning as the subject heading, and library-specific subheadings applied to the object in accordance to language level or content of materials (i.e adult, secondary education, elementary education, phrases, grammar, etc.) All materials must contain at least one LCSH to meet standards.

  3. Location codes will house the items in the English as a Second Language section of the library and all those items will be referred to the Special Collection Development librarian. 

  4. In addition to cataloging duties, the Special Collection Cataloging team will be responsible for all processing of materials (i.e. barcodes, security stripping, labeling, etc.)

  5. For any audiovisual materials, copy cataloging should be utilized as a way to form the basic record, but there should be a focus on keeping the records within the collection consistent (fixing typos, uniform subject headings, patron ease of access). Subject headings and location codes should be unique to the collection itself.

  6. For kits and other items with multiple parts, they will be organized by non-topical headings and additional notes referring to the language learning level and content/theme of the materials. Items within the kits and the kits themselves will follow audiovisual material cataloging standards. 

  7. All materials within the English as a Second Language collection, regardless of its manifestation, should be cataloged according to both MARC21 and RDA standards.

  8. All catalogers have to submit their records for review by the quality assurance team to make sure all records meet the standards. In the case of complicated items, catalogers must transfer them to their seniors to save their time and production rate.

  9. Copy cataloging is legible only through the WorldCat, LOC, and/or Connexion.

  10. The cataloging records are available for export purposes by other institutions or libraries.

  11. All acquired materials in the English Language Learning collection will be cataloged no matter what its type, i.e. All item types such as books, academic journals/articles, audiovisual materials, games/ mixed media learning are subjected to be cataloged.

  12. This section is specifically to make the decision for the catalogers when they confront uncertainty. These decisions are made based on previous faced cases, so depending on them can save the catalogers time and effort. Includes but not limited to (to be continued):

    • While copy cataloging, if there are a few details, please consider enriching the record by combining with other records from the stated above domains up to four records as maximum.​

    • While copy cataloging, if there are more than five ISBN numbers, please consider taking the 10/13 digits ISBN numbers first up to five numbers as a maximum.

    • While copy cataloging, please consider including all possible notes.

    • If there are different forms of authority names for persons, please consider taking the form with the dates.

      • For example, “Stevens, Sandra J., 1939-2009”​

      • If not available, take the most commonly used form based on the number of linked references after assuring it is the same author that needed.​

    • If still having uncertainty or facing a new complex case that is not listed among the above cases, please consider consulting supervisor for advising.​
